Privacy policy
How we handle your information
This policy explains what personal information Sophora Consult collects, why we collect it, and the choices you have. We have written it in plain language and we only collect what we need.
1. Who we are
Sophora Consult Inc. ("Sophora Consult", "we" or "us") provides AI training and adoption support for leaders and teams. We are based in Ontario, Canada, and we follow Canada's federal private-sector privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA).
2. Information we collect
Information you give us:
- When you book a call: your name, email address and anything you share in the booking questions.
- When you email us: your email address, the details in your message and any information you choose to include.
- When you take Sophora Compass, our readiness assessment: your name and email address, plus your business name, industry, team size and role if you choose to give them, your answers, and whether you ticked the box for us to keep in touch. We also record how far you got and whether you clicked to book a call. Your details are saved when you start, even if you do not finish.
- When you work with us: information needed to deliver sessions, workshops or adoption support, such as participant names and work email addresses.
Information collected automatically: this website does not use analytics or advertising cookies. Our hosting provider may record basic technical information, such as your IP address and browser type, to keep the site secure and working properly.
3. How we use your information
- To schedule and hold calls you book with us.
- To respond to your questions and follow up on conversations you started.
- To show you your assessment result and email you a copy.
- To follow up by email about your result and how we could help.
- To prepare for a strategy call if you book one.
- To plan and deliver services you have agreed to.
- To keep in touch by email over the longer term, only if you ticked the box to allow it. We record when you gave that permission.
Every follow-up email lets you unsubscribe, and we stop as soon as you ask. We do not sell or rent your personal information.
4. Your consent
We collect, use and share your information with your consent. By booking a call, emailing us or taking the assessment, you agree to the uses described here. You can withdraw your consent at any time by contacting us. If you do, we may not be able to provide some services.
5. Who we share it with
We share information only with trusted service providers who help us run our business, and only what they need to do their job:
- Calendly, for booking calls. Calendly uses its own cookies when you book.
- Google Workspace, for email, for storing assessment responses in Google Sheets, and for sending your assessment result.
- Vercel, for hosting this website.
We may also disclose information if required by law.
6. Where your information is stored
Some of our service providers store or process information outside Canada, including in the United States. When that happens, your information is subject to the laws of that country and may be accessible to its authorities.
7. How long we keep it
We keep personal information only as long as we need it for the purposes above, or as required by law. Booking details, emails and assessment responses are kept for up to 24 months after our last interaction, then deleted or anonymised. Client records may be kept longer where needed for legal, tax or accounting reasons.
8. How we protect it
We use reasonable safeguards to protect your information, including access limited to people who need it, secure passwords, two-step verification and reputable service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. How your assessment result is produced
Your result is calculated automatically from your answers using fixed rules. The same answers always give the same result, and no AI tool is used to produce it. The result is guidance to support your planning, not a decision about you. You can ask us to explain how your result was produced, and a person will review it with you on request.
10. Your rights and choices
- Ask what personal information we hold about you.
- Ask us to correct information that is inaccurate.
- Ask us to delete your information, unless we must keep it by law.
- Withdraw consent or unsubscribe from updates at any time.
To make a request, email info@sophoraconsult.com. We will respond within 30 days.
11. Children
Our services are intended for adults and organisations. We do not knowingly collect personal information from anyone under 18 through this website.
12. Changes to this policy
We may update this policy as our services change. We will post the updated version here with a new effective date.
13. Contact us
